Terms and Conditions

Changes to User Agreement

  • Pantanal Safari reserves the right to make changes to this site and these terms of use at any time without prior notice.

Booking with Pantanal Safari

  • To confirm a reservation, a 30% deposit is required at the time of booking.
  • Failure to make the deposit will result in automatic cancellation of the reservation.
  • The remaining balance is due 2 months (approximately 60 days) prior to the itinerary start date.
  • Bookings made within 2 months (approximately 60 days) before departure require full payment at the time of confirmation.

Payments

  • If quoted in foreign currency and paying by credit card, the amount will be converted to Brazilian Reais prior to the transaction, following Banco do Brasil regulations.
  • The exchange rate on the transaction day will be used, and any resulting exchange differences or bank charges are the client’s responsibility.
  • Bank transfer payments are accepted, and the amount will be converted by the client’s bank upon invoice presentation.
  • It is the client’s responsibility to ensure the net invoice amount is credited to the Pantanal Safari account, with all bank charges being the client’s responsibility.

Standard Cancellation Policy

  • Cancellation more than 2 months before travel: 30% deposit is forfeited.
  • Cancellation between 2 and 1 month before travel: 50% of the total cost is forfeited.
  • Cancellation less than 1 month before travel: 100% of the total cost is forfeited.

Travel Documents & Visa

  • It is the client’s responsibility to ensure that passports, visas, and re-entry permits are valid and meet the requirements of immigration and other authorities.
  • Any fines, penalties, or costs incurred due to non-compliance with these requirements will be the client’s sole responsibility.

Guidelines and Recommendations

Weather Conditions

  • The Pantanal has two distinct seasons: the rainy season (December to March) and the dry season (April to November).
  • In both seasons, the temperature is around 35°C (95°F), with September being the hottest and driest month.
  • If traveling during this time, ensure you have adequate UV protection gear.

Visa

  • To apply for a visa, foreigners must submit a completed visa application form, a valid travel document, proof of payment of consular fees, an International Certificate of Immunization (when necessary), and other specific documents for the type of visa requested.
  • Check the visa chart to verify if you need a visa to go to Brazil.
  • Ensure your passport is valid for 6 months or more and check if vaccinations are needed.

General Info for Pantanal Safari

  • Activities: In the Pantanal, we will do short hikes along maintained trails, a few kilometers at most. During our jaguar safaris, we will spend the entire day in a speedboat, meaning there will be a lot of sitting during these excursions.
  • Experience: Our clients seek an experience in the Pantanal and with jaguars, which are wild and can be unpredictable in allowing us to observe them. Thus, we choose to spend the day on the river.
  • Lunch: We opt not to return during lunch hours but instead enjoy a picnic-style lunch. If lucky, sometimes we will have lunch while watching the jaguar rest.

What to Bring

  • Clothing: Light-colored clothing for safaris, UV long sleeves/t-shirts, lightweight pants, casual clothes for evenings, lightweight waterproof/windproof jacket, sweater/sweatshirt.
  • Footwear: Waterproof shoes/hiking boots, sandals or casual shoes for the evening.
  • Accessories: Hat or cap for sun protection, sunscreen & insect repellent, sunglasses with neck strap, flashlight (LED models), binoculars, memory cards, camera, medicine kit including all personal medications, waterproof bag for daily belongings, outlet adapter “NBR 14136” (Brazilian outlets), rain-bag for camera gear.

Diseases

  • The Pantanal is a conservation area without the pollution of large cities, so diseases do not affect the Pantanal region.

Money & Tip

  • The Brazilian currency is the Real. For your trip, you might only need Reais for small expenses. At the hotels, you can pay with a credit card.
  • It’s advisable to bring some US dollars, as some lodges do not accept cards.

What to Bring for Photography Tour – Suggestions

  • Memory cards, extra battery (you will spend all day shooting jaguars), tripod and monopod (monopod can help when walking), polarized filters, outlet adapter “NBR 14136” (Brazilian outlets, electricity 110V or 220V), laptop, external drive, rain-bag for camera gear.

  • The remaining balance is due 8 weeks (60 days) prior to the itinerary start date.
  • Bookings made within 8 weeks (60 days) prior to departure require full prepayment at the time of confirmation.

Currency Conversion

  • If quoted in foreign currency and payment is made via credit card, the amount will be converted to Brazilian Reais before the transaction, in accordance with Banco do Brasil regulations.
  • The exchange rate on the day of the transaction will be used, and any resulting exchange differences or bank charges will be the client’s responsibility.

Bank Transfer

  • Payments can be made via bank transfer; the amount will be converted by the client’s bank upon invoice presentation.
  • It is the client’s responsibility to ensure that the net invoice amount equals the funds clearing into Pantanal Safari’s bank account, with all bank charges being the client’s responsibility.
